ISSN:2249-5789 Suvedha G et al, International Journal of Computer Science & Communication Networks,Vol 6(1),27-31 EMPLOYEE WORKFLOW AUTOMATION USING QLID (QUICK LOOK ID) Suvedha G, Sudha Harini B, M.Pajany, suvedhagurubaran@gmail.com, sudhaharini1995@gmail.com, pajanyanish@gmail.com IFET COLLEGE OF ENGINEERING ABSTRACT: This is a web application which helps in managing employee’s workflow say, attendance management, leave management, food request management, virtual request, gadgets management (IT assets management) etc. using RFID (Radio frequency identification) and biometric modules (finger print). The control is provided based on the profile of the user, there are three profile in this application namely employee, manager and admin. Admin has the privilege to view all the data. The attendance of the employee is recorded using the finger print sensing biometric modules. Leave request can be created by the employee based on few attributes (Planned leave, sick leave, sudden leave, others). The pending request is then approved by the manager or admin. Once the request is verified a notification is sent to the employee through email or SMS. The RFID is used to keep track of gadgets (IT assets) and the IN and OUT record of the employee. In this application a special attribute called QLID (Quick Look Id) is generated for the identification of the unique user. It is an alphanumeric attribute which consist of two alphabet followed by six numbers. Auto-Login is provided for the employee once QLID of the employee matches with the computer name in the database. Finally individual report or collective report of employee’s workflow can be generated as per the requirement. INTRODUCTION: Monitoring the Attendance of employees in a business organization is an essential tool for measuring employee efficiency and effectiveness as well as getting the best, in terms of output. Time and Attendance monitoring has never been easy in terms of hours spent to calculate employee work hours and perhaps, trying to find an instant solution to this challenge has always been one of the main concerns of an organization. The lack of accurate Time & Attendance tracking system for employee’s has not only encouraged lateness to work but has also bred disloyalty amongst employees. IJCSCN | Feb-Mar 2016 Available online@www.ijcscn.com Again, Time & Attendance monitoring in the workplace has become indispensable as employees naturally seek to balance their work and family life — a practice which can easily lead to conflicts of interest around issues relating to absenteeism, sick leave, annual holidays, maternity leave, paternity leave, late arrival and early departure from work resulting in lost time and productivity. Our main priority is to implement a Time and Attendance monitoring solution for the organization by employing the RFID and Biometric technology to provide this solution This is an Intranet based application that can be accessed throughout the organization or a specified group/Dept. This system can be used to automate the workflow of leave applications and their approvals. The periodic crediting of leave is also automated. There are features like notifications, cancellation of leave, automatic approval of leave, report generators etc. in this Tool. This system uses a biometric device that recognizes each employee's hand and records their time/attendance data to produce an accurate payroll in significantly less time than ever before. With this product we have made it possible for the combination of RFID Cards and Biometric technology to build a more improved and efficient employee monitoring and time attendance system. SCOPE: • Workflow management for Leave, On Duty, Permission, Virtual request & Food Request • Daily trigger for food request to vendor on food count. • Customized report. • Report on Email & SMS every day • Web based interface, can be monitored from anywhere via intranet with authorization. • Also get input from Biometric scanner/RF ID report dumb and generate In/Out reports 27 ISSN:2249-5789 Suvedha G et al, International Journal of Computer Science & Communication Networks,Vol 6(1),27-31 EXISTING SYSTEM & PROPOSED SYSTEM: EXISTING CONCEPT: In the existing system it uses only the biometric modules and RFID for the work flow automation system. This system does not provide any kind of security to the user data and it is vulnerable. PROPOSED CONCEPT: In the proposed system, it uses special attribute called quick look ID (QLID) which manages data in a unique manner and reduces the storage and access time. This system provides security with the help of QLID (Quick Look ID) and the system user profile architecture. LITERATURE SURVEY: TITLE AUTHOR YEAR : INTEGRATED AND EFFICIENT ATTENDANCE MANAGEMENT SYSTEM BASED ON RADIO FREQUENCY IDENTIFICATION (RFID) : DEDY RAHMAN WIJAYA, IBNU ASROR : 2015 DESCRIPTION Mostly companies or organizations need systems to record their employee attendance. Employee attendance data is very important for companies as one of the parameters to assess performance and discipline of their employees. Nowadays, there are a variety of attendance recording mechanism from manual system to biometrics systems. In this study will be discussed about attendance management system based on Radio Frequency Identification (RFID) technology. RFID is one of enabler technology for Internet of Things (IoT) which is currently being developed. That application of IoT concept can provide solution for many problems that occur in the society, one of them is attendance management system. That system is part of Human Resource Management System (HRMIS) which is the system has been developed has high flexibility to integrate with another system, has transaction processing speed better than biometrics system, and requires an efficient investment for devices. Currently, attendance management system based on RFID has been deployed and running in the production environment and widely used in the Telkom University. IJCSCN | Feb-Mar 2016 Available online@www.ijcscn.com TITLE : An NFC Supported Attendance System in a University Environment AUTHOR : Media Anugerah Ayu, Member, IACSIT and Barroon Ismaeel Ahmad YEAR :2014 DESCRIPTION Registering for attendance in education environments especially universities is a highly demanding activity as a result of increasing number of students. The attendance process normally involves circulating a paper for the students to register their names, or the lecturer calling the names and registering the students either in a paper or from PDA/PC. In the first case the students’ attention may be attracted while taking the lectures and at the same time they can register for students who do not being present in the class. While in the latter case the issue of cheating in the form of registering for their friends can be solved but imaging the number of students to be from 50 and above, a great portion of the lecture time will be wasted performing this process. In this paper we propose a smart attendance system using NFC that will simplify the attendance process, by simply touching an attendance poster or the lecturer’s NFC based mobile device in the class. TITLE : Optimized Design of Student Attendance System Using RFID AUTHOR : Aditi S.Tiwari, Aniket S.Tiwari, Nikhil M.Ade, Sana.G.K.Sheikh, Nilesh R.Patel, and Athar Ravish Khan YEAR :2014 DESCRIPTION Web-based student attendance management system is required to assist the faculty and the lecturer for the time-consuming process. For this purpose, GSM/GPRS (Global System for Mobile communication/General Packet Radio Service) based student’s attendance management system using RFID (Radio Frequency Identification) is a much convenient method to take the attendance. Student is provided with the RFID tags. When student comes near to the reader, it will sense the respective student and update attendance. The whole process is controlled using the microcontroller. The main advantage of this system is that it reduced the complexity comparison to student attendance system using RF technology. This system requires only one microcontroller for the operation, it is real time process. This paper reviews some of these monitoring systems and proposes a GPRS based student attendance system. The system can be easily accessed by the lecturers IJCSCN | Feb-Mar 2016 Available online@www.ijcscn.com via the web and most importantly, the reports can be generated in real-time processing, thus, provides valuable information about the students’ commitments in attending the classes. TITLE : Automated Attendance system with RFID through SMART CARD AUTHOR : Vaishali Ghodekar, Aboli Kute, Swati Patil, Prof.Ritesh Thakur YEAR : 2013 DESCRIPTION Student attendance is one of the important issues for colleges, because many colleges evaluate students’ attendance and while giving the final grade, professors consider their total number of appearances on classes during the whole semester. Some colleges prefer to use paper sheet for controlling attendance, whereas some colleges prefer to use paper sheet for checking students' attendance and after this, fill out these information into a system manually Generally students’ performance in studies is depending on the attendance. There is a need to develop system that reduces burden in analyzing the attendance and enhance smooth functioning of schools, colleges and colleges and to help the parents. Thus, this paper describes a brief introduction to application of attendance system and reviews some application of attendance system and techniques of data retrieval such as smart card, biometrics and RFID itself. This system would be applicable in collecting student attendance in classroom using passive RFID technology. Our project is Monitoring of Student using RFID. RFID stands for Radio Frequency Identification and Detection. In this we are using RFID reader and contactless smart card. Reader is located on fixed location sends signal to passive RFID chip detected in range of reader. Chip re-transmits the acknowledgement signal with its unique Identifier code, hence chip is identified. Also, a single reader can identify many no of chips in very short period of time. So, we are using these properties of RFID reader monitor the student. Also included module to make system better like in biometrics thumb detection for security and send message to parent if with respective student absent in class. 29 ISSN:2249-5789 Suvedha G et al, International Journal of Computer Science & Communication Networks,Vol 6(1),27-31 TITLE : RFID-Based Students Attendance Management System AUTHOR : Arulogun O.
